Intune Retire, Wipe or Delete: Choose the Outcome
Start with what should remain on the device, then choose the action.
“Remove this device” is an incomplete support request. It might mean removing work management from a personal phone, preparing a company laptop for another employee, or responding to a missing device that still contains data.
Those outcomes need different actions. Record the required result before opening the removal menu.
Establish ownership and the next use
Confirm the device’s serial number, platform, enrolment type, current user and ownership. Compare the management record with the asset record, especially if a laptop has been rebuilt or a phone replaced.
Ask three practical questions. Must personal content remain? Must the device remain managed by this organisation? Does it need to be safe for transfer outside the organisation?
Identify any business data that needs preserving and the person authorised to decide. A request from someone returning equipment does not by itself tell the operator which local files the business has already retained.
For an unavailable device, record the last successful contact. That tells the team whether it can expect prompt evidence from a remote action.
Understand the three actions
Microsoft’s documentation describes different purposes and platform behaviour:
| Action | Main purpose | Check before selecting it |
|---|---|---|
| Retire | Remove managed work configuration and unenrol the device | Which work data and applications this enrolment type actually removes |
| Wipe | Reset the device using the supported platform options | Whether selected options preserve anything the outcome requires removing |
| Delete | Remove the Intune record and trigger the applicable removal action | Which command is triggered for this platform and enrolment type |
Retire is not a promise that every trace of business data disappears. For example, Microsoft documents that Windows Win32 apps installed through the Intune management extension are not uninstalled when the device is unenrolled.
Wipe also has options. The Windows option that keeps enrolment state and the associated user account preserves user data. Read the actual selection rather than treating the word “wipe” as sufficient evidence of a complete reset.
Do not treat Delete as a harmless inventory edit
On Windows, macOS and Apple mobile devices, Delete triggers Retire. For Android, it triggers Retire or Wipe depending on enrolment type.
This matters when cleaning an inventory from a spreadsheet. A mistaken record selection can cause an operational action on a real device. Resolve duplicate names with identifiers before submitting anything.
Microsoft also documents a Windows consequence for retiring or deleting a BitLocker-protected Microsoft Entra joined device: the action triggers removal of key protectors and suspends protection on the operating system volume.
Plan the device’s physical custody, remaining local access and next configuration around that behaviour. Do not assume that removing management leaves the same encryption protection in place indefinitely.
Preserve required recovery information through the approved process before removing the management relationship. Keep secrets out of ordinary inventory exports.
Verify the device result
The Delete action can show “Completed” after the server-side process has finished. Microsoft explicitly says that this does not confirm the client has completed Retire.
Separate the record into requested action, management-service result and observed device outcome. A missing device that has not contacted the service cannot provide the same evidence as a returned laptop on the desk.
For an in-person handover, inspect the expected state on the device. Check whether management remains, which account can sign in, and whether the agreed reset or removal has completed. For a personal device, keep inspection limited to the authorised work-management checks.
If the device is lost, keep any separate identity-containment tasks open until their own evidence is available. A queued device action is not a substitute for controlling account access.
Finish the lifecycle record
Document who selected the action, the ownership decision, the exact options used and the evidence of completion. Include any remaining registration or asset-disposal tasks rather than assuming Intune handled every system.
Use a test device for each enrolment pattern the helpdesk supports. Have the operator explain the expected result before running the action, then compare it with the observed state.
That exercise produces a usable local procedure: a known starting state, an appropriate action and a result the next person can verify. It also exposes the exceptions that a single “remove device” button hides.
